Is Maxley just a chatbot?
No. Maxley is a generative AI agent for Maximo with memory, session awareness, and Maximo skills. It’s integrated inside Maximo and can answer questions, guide users, analyze data, search documents, perform controlled data updates, create live KPI Dashboards, and much more.
Is Maxley just an MCP Server?
Not at all. Maxley is a turnkey comprehensive generative AI solution with skills and context awareness. Please see the Maxley vs Maximo MCP Server page for more information.
How do you guard against AI hallucination?
The risk of AI hallucination is dramatically reduced when the agent is purpose-built for Maximo — equipped with domain expertise, validated skills, and institutional memory. General-purpose AI models, even the best available, lack the Maximo-specific knowledge needed to produce reliable answers consistently.
By design, Maxley guards against this using multiple means:
● Built for Maximo — curated Maximo domain expertise informs every interaction, so Maxley understands your data model, business processes, and application behavior out of the box.
● Validated Maximo skills — Maxley can execute skills and use tools built specifically for Maximo’s data model, ensuring actions follow proven patterns rather than best guesses.
● Schema validation — before constructing any data query, Maxley looks up the actual table structure, column names, and relationships rather than assuming or guessing.
● Security-aware — all queries respect the user’s Maximo security profile, including site-level and table-level access controls, so results are always scoped correctly.
● Pre-built and user-definable Macros let you test complex requests, verify the results, and save them for repeatable, consistent use — eliminating variability.
● The Maxley Lexicon application in Maximo allows you to customize the agent’s domain knowledge for any edge cases or organization-specific terminology.
Maxley also provides built-in validation and self-improvement methods:
● Data queries are included inline in each chat reply, so you can see exactly what was run and where Maxley’s answers come from.
● You can ask Maxley to cite sources of information directly in your chat session.
● If enabled, Maxley can self-report struggles on certain questions or tasks so its skill set can be enriched over time.
● Users can click a “Report Problem With Last Response” button in the chat pane if Maxley ever gives a questionable or confusing response, and that feedback can be used for further knowledge enrichment.
Why do you focus on “context”?
Context is as important as Maxley’s Maximo skills. Context awareness means the agent can use Maximo record data, screens, filters, memory, prior chat session history, the user’s Maximo profile and security, and your terminology and document libraries when answering questions or performing tasks.
What roles can Maxley support?
Maxley can support users in all functional areas such as Maintenance, Inventory, Supply Chain, Management, and more. Maxley also serves as a Maximo consultant, trainer, and developer. These are not separate products. They are different ways Maxley responds based on the request or job being done.
What Maximo context can Maxley use?
Maxley can use context such as the user’s current application, filters, and selected records, as well as other settings in their user-session such as default insert site and their security profile. Maxley also know the user’s default area of interest.
What is the Default Area of Interest for users?
This is an optional setting the user can define in their Maxley chat window to set a default area of interest, for times when their context (such as selected records) or their question doesn’t make this clear to Maxley. For example, a user who is usually interested work orders for the Mechanical Department (person group) in a certain Site can specify this.
Can Maxley use my current Maximo filter?
Yes. Maxley can use the user’s current application, current filter, selected records,
and job-area context so answers reflect what the user is already looking at.
Can Maxley understand our terminology?
Yes. Maxley can use your terminology, abbreviations, naming conventions, shorthand,
internal terms, process definitions, and organization-specific language.
What is the Maxley lexicon?
The lexicon is where customer-specific terms, abbreviations, naming conventions, internal phrases,
and process definitions can be added so Maxley understands how your organization talks about Maximo,
assets, work, vendors, procedures, and operations.
We have custom tables and fields in Maximo, will Maxley use those too?
Yes, Maxley uses Maximo’s internal data dictionary so will know about your custom objects/tables and attributes/fields, as well as how your custom objects relate to core Maximo objects (data relationships). He’ll use the field name and the description remark that you specify for your custom fields. He’ll also see that the field on your screens if you’ve placed it there.
Using the Maxley Lexicon application in Maximo, you can also specify when and how your custom field should be used or note that it is important for your users. This can be as simple as “We use a custom field workorder.outagewindow to specify how long the asset must be down for the job, so include that if a user asks about scheduling work” (or you can ask Maxley to write this for you of course).
Additionally, when you create AI Macros you can explicitly specify when and how your custom fields should be used in the Macro instructions for Maxley.
What is the Maxley document library?
The document library can include SOPs, PDFs, manuals, guides, procedures, policies, screenshots,
reference documents, and other material that does not already live inside Maximo but should affect
how Maxley answers.
Can Maxley search our documents?
Yes, Maxley can search documents attached to records the user has rights to, such as Work Orders, Assets, Job Plans, Items, and others. Maxley can also search organization-level documents you add to the Maxley Library application in Maximo, such as company policy documents, training materials, etc.
What are Maxley macros?
Macros are repeatable sets of instructions for the AI agent. Maxley comes with many curated Macros and you can add your own to standardize common requests, especially those that may benefit from multi-step or more complex instructions. Macros also allow for one-click execution by users. Examples include finding duplicate WO/SR records, predicting next asset failure, suggesting failure codes, finding alternate parts, analyzing vendor quotes,
finding available labor, running inventory demand analysis, and dozens more.
How are custom macros created?
Teams can prototype prompts and workflows directly in the chat box. Once the response works well,
the prompt can be converted into a repeatable macro in the Maxley Macros application in Maximo.
Can macros be multi-step?
Yes. Macros can be built as multi-step workflows for more complicated tasks that need to gather context,
run analysis, compare options, summarize results, or produce a specific output.
Can macros be scheduled or event-driven?
Yes. Macros can be scheduled when a process needs to run on a recurring basis, or they can be event-driven so they fire when events occur in Maximo.
Does Maxley support multiple AI models?
Yes. Maxley supports a standard model and a premium or deep-thinking model. Currently these are from the Anthropic Claude family.
Can we control access to premium models?
Yes. Users can be limited to standard models, granted premium model access, given deep thinking mode,
or allowed to use specific macros that rely on stronger models behind the scenes.
What is deep thinking mode?
Deep thinking mode is intended for harder tasks that may require stronger reasoning, deeper analysis,
more careful comparison, complex technical work, planning, or decision support.
Can a user access a premium model only through a specific macro?
Yes. A team can allow specific macros to use stronger models without giving every user broad access
to premium models or deep thinking mode.
Can Maxley permissions differ by user?
Yes, Maxley can support different access for users. Maxley uses new Maximo Security Groups to control most access.
Does Maxley remember prior conversations?
Yes, Maxley remembers all prior conversations for each user and can reference those when supporting that user. If a user is in the Maxley Admin Security Group they can ask Maxley about other user’s conversations also. This can be helpful to identify opportunities for improving AI usage and finding common trends that may indicate a problem.
Does Maxley require access to everything in Maximo?
Maxley is typically granted read-only access in Maximo Production with a couple of limited exceptions. The data a user can access through Maxley is based on an intersecton of the rights you give to the Maxley agent and the user’s security profile.
Can Maxley update data records in Maximo?
Maxley is typically granted read-only access in Maximo Production but you can enable specific, controlled updates that you want Maxley to be able to make in Production. Maxley can never directly update data though. To make updates, he can call a pseudo-API you create using an automation script using instructions we provide.
You’ll want to grant update rights to Maxley in your Maximo Test/Dev environment though so that you can use Maxley for Developer tasks like creating BIRT reports and automation scripts.
How is Maxley installed?
Your Maximo Admin will install a “Customization Archive”, which is the supported method for adding extensions to MAS. We’ve developed many class file-based extensions for Maximo over the years and the Maxley add-on is especially lightweight in that it does not extend any existing Maximo classes; it only adds to MAS in order to expose the chat widget for users. MaxStack then provisions your dedicated agent gateway instances, one for each of your Maximo environments.
What has to be set up first?
Nothing has to be set up, you can begin using Maxley immediately after you assign users to the new Maxley Security Group. Optionally, you can use new Maximo applications to provide any custom terminology or conventions and add org-level documents that you want the agent to have available that aren’t already attached documents.
Do we have to choose which Maxley capabilities or roles to start with?
No. Maxley’s core capabilities are available right away. Setup is more focused on
adding any custom terms you use, creating macros, adding document/library content, and managing model access.
Does Maxley require MaxStack hosting?
No. Maxley isn’t related to our MAS hosting service. You can install Maxley in any MAS environment as a simple Customization Archive.
Can we start without custom macros?
Yes. Teams can start with conversational use and use the provided AI Macros that come with Maxley.
Custom macros can be added later as teams discover repeatable tasks worth automating.
How should we decide which macros to create?
Start with tasks users repeat often, tasks that require many steps, or prompts where Maxley consistently
produces a useful response in chat. Those are good candidates to convert into repeatable macros.
Can we interact with Maxley using voice (text to speech)?
Yes, you can click the microphone icon in the chat window and speak to Maxley. This is very useful for
getting help or diagnosing problems in the field as it allows you to more easily get help from Maxley using your phone or tablet. If you don’t see the microphone button, ask your Maximo Administrator to enable this Maxley option in your Maximo System Properties.
