No, Maxley is far from an AI chatbot or assistant. He’s a full-featured AI agent who knows Maximo deeply and uses advanced, generative AI models to answer questions, provide guidance, and perform tasks. You can ask him anything, from tactical problem-solving questions to technical development requests to strategic business analysis to creative brainstorming.
There is really no limit to what you can ask Maxley. You can start by asking him what you should focus on today or what problems he sees brewing in your department. During the course of your day may need information to do your job and Maxley can provide that to you, but often with insight and connections that will help you make better decisions (and will likely astound you).
For common requests, you can use a one-click Macro. Some of these are relatively simple, such as searching for duplicate work orders, analyzing a vendor invoice PDF to ensure it’s ready to be paid, or seaching the web for spare parts you need. Others are more complex, such as performing multi-variate inventory demand analysis or predicting an asset’s next failure using statistical analysis across many dimensions.
You can also work with Maxley on strategic planning. He knows best practices and he knows your Maximo data and processes, so you’re likely to find he’s on par with best analyst or consultant you’ve ever had. Maxley can perform comprehensive analysis of your operations and provide a data-driven plan for revamping and optimizing your processes.
Maxley works best when he can use all of your Maximo data to help answer questions and perform tasks, but you can limit his access as needed. Importantly, Maxley also knows the data access rights you’ve assigned to each of your Maximo users and he applies those restrictions when assisting the user.
Yes. Maxley can use your terminology and naming conventions, as well as rules about the meaning of your terms. You define these optional rules in the Maxley Lexicon application in Maximo.
For example, if you use “Work Center” instead of Maximo’s “Person Group” term, adding that to the Lexicon means Maxley will always use “Work Center” too.
It means Maxley combines awareness of Maximo records, the current screen, and filters with Maximo skills and best-practice skills to provide relevant and insightful answers to your questions.
Yes. Maxley is aware of where you are in Maximo and can “see” the same data you see on the screen. He’s also aware of your current application data filter and can use that to help answer questions.
Macros are repeatable one-click requests for Maxley. Maxley comes with a set of pre-built Macros (with more added over time) and you can create your own. If Macros exist for the application you’re in, you can select them in the Maxley chat window as an alternative to typing your question. You don’t have to use Macros to get help from Maxley, but they enable you standardize frequent or complex tasks so they can be used easily and consitently by users.
You can prototype questions and tasks directly in the Maxley chat window. Once your question or instruction is optimized, you can convert it into a repeatable macro for other users to use with a single click. Maxley also comes loaded with a set of pre-built macros that you can use right away, ranging from simple tasks like searching for needed spare parts to complex tasks like predicting asset failures.
Maxley is able to access the leading frontier models such as those from OpenAI (ChatGPT), Google (Gemini), and Anthropic (Claude). We select the best multi-step capable workflow models for Maxley, one for routine requests and a higher-powered model for tasks that require deeper analysis. We may adjust our curated list as the LLM models evolve.
Yes. Users can be limited to Maxley’s standard model or granted access to a deep thinking option which routes their requests to a premium model. The Maximo Administrator can also specify whether Maxley AI Macros use the the premium model for tasks that rely on stronger models.
No. Your data is never stored by Maxley or used to train models.
No, there is no prompt training. Maxley uses powerful generative AI models so he already understands any question you ask. You can start chatting with Maxley right away.
Maxley is already aware of documents you attach to Maximo records, and a Maxley Document Library application lets you optionally provide organizational-level documents for Maxley to use when he’s assisting users. Categories include include HR, Policy, Safety, Training and general Reference documents.
Yes. Maxley can search PDF documents attached to Maximo records and the Maxley Document Library, provided the user has permission to access the documents.
For example, you might ask Maxley to find the requried voltage by searching an Asset’s attached documents, or to look up your company’s vacation schedule for new employees.
Yes. Users can export their chat session to HTML or PDF. When Maxley includes charts (e.g. bar charts, pie charts, line graphs) in his response, those will also be saved. Or the user can copy individual chart images using a “Save image to clipboard” option.
Yes. Maxley Macros can be scheduled. This enables you to use Maxley for recurring or event-driven AI tasks or analsysis. For example, if you want Maxley to perform failure prediction analysis on assets as part of your regular maintenance schedule or as new events occur such as out-of-range meter readings, you could schedule a Maxley Macro to run automatically and store the results on your Asset record.
Deep thinking mode is intended for harder tasks that may require stronger reasoning such as complex data analysis, multi-step technical work, or strategic planning.
Yes, you will be charged for your actual AI model “token” usage.
This varies based on the model being used and the complexity of the task. A simple “show me open work orders” might cost a few cents in token usage. A complex task, like “analyze the prior year’s PM data and prepare a plan to improve our PM progam to reduce both downtime and maintenance costs, complete with charts” will likely require multiple rounds of queries, aggregation, and synthesis and could cost several dollars.
Maxley can be installed on any supported version of Maximo Application Suite (MAS).
No, there are zero changes to your MAS infrastructure, for either Maxley AI Agent or Maxley Dashboards.
Maxley is a cloud-based service that runs on our infrastructure. You don’t need to add any additional server capacity or infrastructure. All processing is done on a Maxley instance that is dedicated to your organization. This means that your cost is limited to your Maxley recurring subscription fee and your direct LLM token charges for model usage.
Your instance of Maxley runs on a dedicated server that only your MAS environment can reach. We provision this Maxley instance for you. There is no infrastructure change to your MAS environment.
After you subscribe to the Maxley service, you’ll receive instructions to install the Maxley widget using standard MAS configuration tools. This is a standard Maximo build process which typically takes a couple of hours.
Maxley is a standard Maximo “Customization Archive” that you install in your Suite > Configuration screen in MAS. Once installed the Maxley floating widget will be visible for users you allow to access the Maxly AI Agent and/or Maxley Dashboards. Several new Maximo applications are also installed that you can use to configure Maxley, as well as new System Properties for setting Maxley options.
Maxley is a lighter weight addition than many 3rd party add-ons for Maximo. It only adds new class files and does not extend any class files used by MAS.
Maxley does not store any Maximo data, or use your data to train models.
Certain Maximo data such as Person names, email addresses, home addresses, and phone numbers would typically be considered PII, and Maxley may access this data when answering questions if the user has rights to the data in their Maximo security profile.
If this use of PII causes an issue or may delay your Maxley deployment, we can enable a PII-Block option that is built into Maxley.
When enabled, Maxley is aware that he’s not allowed to access PII and he will politely decline to do so. More importantly, this option enforces a low-level block on PII data so that Maxley is unable to access the data even if he were to try. The impact is minimal; users will see your record identifiers such as JSMITH rather than “John Smith” in Maxley’s responses.
Skills are foundational knowledge that make Maxley a Maximo and EAM expert:

From an architecture perspective, Maxley runs on an isolated server that is dedicated to your organization.
For Maximo data access, there are multiple levels of security: – Maxley (AI) doesn’t have direct access; he requests data from a Maxley gateway service that is configured with your Maximo API key. – Maxley is aware of each user’s Maximo security profile and applies that to the data he requests. – The gateway service also checks each user’s security profile and enforces it before allowing data to be accessed.
Maxley can update data and create records using the Maximo Business Objects (MBOs) and we’ve built multiple levels of security around this capability. The Maxley AI Agent is aware of each user’s Maximo security profile, as well as application-level restrictions, and applies these. Most importantly, the Maxley gateway service also checks each user’s security profile and enforces it before processing data changes.
For your Production Maximo environment, we go even further to ensure safe and controlled updates by recommending a read-only API Key for the Maxley gateway sercice, combined with specific update functions that Maxley can use if you want to permit certain Maximo data updates. This enables tightly controlled updates, using code that you can audit and control.
For your Test/Dev Maximo environment, we recommend a full-access API key for the Maxley gateway service so that the Maxley AI Agent can serve as your Maximo Developer for tasks like creating BIRT reports, developing Maximo automation scripts, and creating Maxley AI Dashboards for your users.
The Maxley Dashboard service provides multiple levels of security.
Like your dedicated Maxley AI Agent, Maxley AI Dashboards run on an isolated server that is dedicated to your organization.
Access controls for Maxley Dashboards: – You control access for each Dashboard that Maxley creates for you using a Maxley Dashboard Access application in Maximo. This application allows you to associated any of your Security Groups with your Dashboard IDs. – Only users who are signed into Maximo can reach Maxley Dashboards. – Maxley Dashboards receive each user’s security profile for Site access, which is applied to all dashboards.
Yes, Maxley logs all chat sessions in a Maxley Chat Log application in Maximo.
